About the role
We are seeking a dedicated and organized Administrative Assistant to join our dynamic team. The ideal candidate will play a key role in ensuring the smooth operation of our company and supporting the administrative needs of our executive team. The Administrative Assistant will be responsible for a variety of tasks, including managing schedules, coordinating meetings, handling correspondence, and assisting with office management duties.
Key Responsibilities
Office Management:
- Ensure compliance with company policies and procedures.
 - Assist in the creation or updating on company policies as well as policy dissemination.
 
Administrative Support:
- Assist with day-to-day administrative tasks such as filing, data entry, and document preparation.
 - Handle incoming and outgoing correspondence, including emails, and phone calls.
 - Prepare and distribute meeting agendas, minutes, and follow-up actions.
 - Support the scheduling and coordination of meetings, appointments, and travel arrangements.
 
Executive Assistance:
- Provide administrative support to the executive team, including calendar management and meeting coordination.
 - Assist with the preparation of presentations, reports, and other executive documents.
 - Handle confidential information with discretion.
 
Event Coordination:
- Assist in planning and organizing company internal events, meetings, and training sessions.
 
Customer and Vendor Relations:
- Act as a point of contact for vendors and third party relationships, providing excellent customer service and support.
 - Manage and maintain vendor contracts and relationships.
 
Qualifications
Education:
- High school diploma or equivalent; Associate’s or Bachelor’s degree in Business Administration or related field preferred.
 
Experience:
- Minimum of 2 years of experience in an administrative or office support role.
 - Experience in the SaaS or education technology industry is a plus.
 
Skills:
- Bilingual Spanish and English
 - Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
 - Excellent organizational and time management skills.
 - Strong verbal and written communication skills.
 - Ability to multitask and prioritize tasks effectively.
 - Attention to detail and problem-solving skills.
