About the role

We are seeking a dedicated and organized Administrative Assistant to join our dynamic team. The ideal candidate will play a key role in ensuring the smooth operation of our company and supporting the administrative needs of our executive team. The Administrative Assistant will be responsible for a variety of tasks, including managing schedules, coordinating meetings, handling correspondence, and assisting with office management duties. 

Key Responsibilities

Office Management: 

  • Ensure compliance with company policies and procedures. 
  • Assist in the creation or updating on company policies as well as policy dissemination.

Administrative Support: 

  • Assist with day-to-day administrative tasks such as filing, data entry, and document preparation. 
  • Handle incoming and outgoing correspondence, including emails, and phone calls. 
  • Prepare and distribute meeting agendas, minutes, and follow-up actions. 
  • Support the scheduling and coordination of meetings, appointments, and travel arrangements. 

Executive Assistance: 

  • Provide administrative support to the executive team, including calendar management and meeting coordination. 
  • Assist with the preparation of presentations, reports, and other executive documents. 
  • Handle confidential information with discretion.

Event Coordination: 

  • Assist in planning and organizing company internal events, meetings, and training sessions.

Customer and Vendor Relations: 

  • Act as a point of contact for vendors and third party relationships, providing excellent customer service and support. 
  • Manage and maintain vendor contracts and relationships. 

Qualifications

Education: 

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in Business Administration or related field preferred.

Experience: 

  • Minimum of 2 years of experience in an administrative or office support role. 
  • Experience in the SaaS or education technology industry is a plus.

Skills: 

  • Bilingual Spanish and English  
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software. 
  • Excellent organizational and time management skills. 
  • Strong verbal and written communication skills. 
  • Ability to multitask and prioritize tasks effectively. 
  • Attention to detail and problem-solving skills.
